Job Summary: | The Professional Master's and Certificate Programs team, which supports the MS in Pharmaceutical Sciences: Applied Drug Development (ADD) and Psychoactive Pharmaceutical Investigation (PPI) programs and their associated graduate-level capstone certificates, is seeking a Graduate Program Manager to join the team. These innovative programs attract varied and ever-evolving student populations, and our student-centered team prioritizes meeting these growing student cohorts where they are. Our small, fun, and vibrant student services team provides full-featured student services throughout the entire student lifecycle, working with campus partners to move students from inquiry to application to enrollment to graduation to alumnihood in a supported and cohesive manner.
This position serves a critical role on our team. In addition to acting as the liaison between our program and the UW-Madison Graduate School, the Graduate Program Manager will provide academic advising to program students, facilitate new student onboarding and orientation experiences, coordinate our programs' graduation celebrations, and administer our growing scholarship program. This position allows for work location flexibility; on average, up to four days per week can be worked remotely.

Responsibilities: | Manages the administrative activities of graduate degree program(s) and/or certificate(s). Performs activities which may include: recruitment, admissions, new student orientation, academic advising, monitoring of progress towards the degree, course and/or enrollment management, diversity, equity and inclusion initiatives, funding, course and/or program assessment, and academic program review. May oversee staff and/or graduate program functions. - 15% Serves as the expert resource for applicants, current students, faculty, staff, and other stakeholders of an academic program
- 15% Manages the response, support, and advocacy for graduate students while continuously improving the student experience and overall graduate program
- 10% Oversees programming, services, and events to promote professional development and academic success
- 20% Provides comprehensive advising services promoting graduate student success, retention, and degree completion. Advises on programs, graduate education, and university policies, processes, and procedures. Monitors degree progress and assists students in navigating resources and systems throughout the student lifecycle from matriculation to degree completion
- 10% Manages graduate student funding including, but not limited to, fellowships, scholarships, training grants, or assistantships from department, university, and/or outside sponsors. May prepare and/or submit funding proposals
- 15% Maintains compliance with graduate program(s), school/college, and university requirements and technology systems related to admissions, assessment, academic degree progress/requirements, and program review. Makes policy and procedure recommendations and/or changes
- 5% Oversees staff and/or graduate program functions
- 10% Collaborates with and supports other colleague(s) in the programs' student experiences team

Education: | Bachelor's Degree Required
Master's Degree Preferred Preferably in biosciences, physical/natural sciences, psychology, pharmacy-related field, higher education administration, or education-related field |
Qualifications: | More than five years of post-degree experience working in educational settings, with at least three years of higher education working experience. Applicants must have at least two years of successful employment experience in higher education program coordination and/or student support services.
Required: - Working expertise with Microsoft Office software (Word, PowerPoint, Excel) and collaboration software (MS Teams, Zoom, Google Drive, Box). - Demonstrated excellence in customer service, organizational, interpersonal, verbal and written communication skills. - Proven record of process implementation/improvement and successful collaboration with cross-functional teams. - Experience advising and supporting adult learners, online education programs, and both international and domestic students in STEM graduate programs.
Preferred: - Proficiency in information systems used by UW-Madison professional graduate programs (Salesforce, SIS, Application Review). - Experience collaborating with UW-Madison's Professional Degrees and Certificates teams to meet program marketing, recruitment, and yield goals. - Experience successfully contributing to an academic setting with documented progression of responsibilities. - Demonstrated effective involvement on teams that promote and support professional graduate programs from the top of the marketing funnel through all phases of the student life cycle, including alumni relations post-graduation. |

Salary: | Minimum $53,700 ANNUAL (12 months) Depending on Qualifications This position requires previous relevant experience. As such, candidates who are qualified can expect to earn between $53,700 and $55,000. Those who meet the preferred qualifications may earn between $55,000 and $67,700, while those who are highly qualified may earn between $67,700 and $82,000. |
