Our team in Austin, TX is looking for an Events Specialist to strategically plan and execute meetings and events for the Abbott Neuromodulation Professional Education department. Events include educational training programs for medical professionals that take place in either a lab or hotel. Collaborate with Education & Training and other key stakeholders to ensure business objectives and priorities are met. Source venues to place the meeting or event in the appropriate meeting space/ lab facility. Work closely with vendors to support strategic objectives and program deliverables. This position reports into the Sr. Manager of Conventions & Customer Events under Global Marketing.
What You'll Do
Work with Professional Education team on the annual schedule of events. Source venue sites and other meeting spaces to support overall program.
Maintain event timeline and ensure all action items and deadlines are met.
Coordinate all logistics in association with meeting or event including registration, housing block, food & beverage, audiovisual equipment coordination, staff scheduling, attendee badging, meeting space specifications, offsite events, and preparation of pre-event communications.
Build out and manage events on the Cvent registration platform.
Work closely with all external vendors and manage their work flow and event deliverables.
Work collaboratively with official corporate travel company in accordance with policy and procedure.
Maintain complete fluency and understanding of Abbott travel and spend policies and external regulatory guidelines like the Open Payments Act.
Ensure ADVAMED and Open Payment Act guidelines are met with all meetings, including spend tracking for customer ancillary events.
Prepare and manage budgets. Monitor expenses and manage event costs at or under budget.
Travel required, approximately 50%.
Support all Company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments.
Maintain positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
Perform other related duties and responsibilities, on occasion, as assigned.
Experience and Education You'll Bring
Bachelor's degree in Marketing, Public Relations, Journalism, Advertising, Communications, or equivalent preferred.
3-5 years of progressively more responsible work experience in the field of conventions and event planning preferred in the industry of medical device, pharmaceutical, healthcare, IT or other similar field.
Demonstrates strong project management skills and also showcases a customer-service focused mentality.
Experience and expertise working in the Cvent event platform.
Experience managing a budget encompassing multiple vendors, budget centers and payment terms.
Experience working with a global brand.
Comprehensive personal computer skills including demonstrated spreadsheet, word processing and database management capabilities.
