The University of Maryland School of Pharmacy, Pharmaceutical Health Services Research Dept. (PHSR) has an opening for an Administrative Services Specialist (payroll title: Business Services Specialist) to work with our administrative offices. The Administrative Services Specialist uses established principles and best practices of business administration to coordinate the management of assignments within the department. Responsibilities include entry-level professional work in a combination of administrative/business operations such as finance, procurement, facilities and graduate program management, technology oversight, and research communications.

Prepares procurement transactions, travel expenses and monthly audits/reconciliations using established purchasing processes. This may include establishing effective communication channels and acting as a liaison between the department and officials within and outside the institution.
Evaluates the payment of invoices. Resolves discrepancies with vendors or service providers while communicating with our Business Services Administrative Team.
Assists the Grad Program director, Admissions Committee, and students in maintaining Grad Program operations including admissions and student services.
Assists Office Manager in the daily oversight of departmental operations.
Participates in space planning activities. Plans, schedules and assigns activities and conference calendars. May assist in coordinating the renovation or relocation of department administrative and research areas.
Develops and manages information technology guidelines (i.e. WebEx, Skype and Smartboard functionality). Manages, oversees and reconciles ongoing projects including but not limited to equipment inventory and departmental parking voucher system.
Assists the Vice-Chair of Academic affairs with curriculum committee administrative duties.
Assists in the planning and distribution of department communications. Assists faculty in researching and preparing documents using proper grammar and punctuation.
Sets up and monitors department/division maintenance and service contracts on equipment, instruments, and facilities.
Performs other related duties as assigned.
EDUCATION: High School Diploma or GED Required (Bachelor's Degree preferred), or equivalent combination of education, training and experience
EXPERIENCE: Six years progressively responsible experience in a combination of administration, accounting, purchasing in an educational research-oriented environment.
OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Working knowledge of management principles and practices.
Skill in performing basic mathematical computations.
Skill in planning work and mentoring others.
Skill in organizing and executing multiple assignments under specific time constraints.
Ability to understand and interpret University policies and procedures in the areas of administration, finance, purchasing, and sponsored programs.
Ability to communicate effectively orally and in writing.
Working knowledge to operate office equipment, computers, and related software (i.e., Microsoft Office) and emerging technology.
Ability to handle sensitive and confidential matters with discretion and tact.
Ability to be service-oriented; a strong work-ethic and team-player mentality is essential.
The candidate should be exceptionally organized with a fine attention to detail.
Based on the duties of this position, selected candidates are eligible to participate in the Bargaining Unit (Union).
Salary Range: $47,000 - $50,000
